Heartland Retail Connector for NetSuite Tax Sync

The Hyperspace NetSuite Connector for Heartland Retail enables you to sync Sales from Heartland Retail Point of Sale to NetSuite ERP. It offers a wide variety of options to suite your particular workflow.

Sales in Heartland Retail primarily consist of the following:

  1. Line Items
  2. Customer Information (Customer Name, Customer email, Customer Address) or Guest customer
  3. Discounts
  4. Taxes
  5. Sale ID and Sale Date
  6. Store Location (Store Location, Address)

When referring to sales and sales tax calculations you have 2 options with NetSuite ERP and the Hyperspace Connector.  You can allow Hyperspace to control your tax codes and tax calculations based on the tax rules you created in Heartland Retail Point of Sale. You can also allow NetSuite ERP to control your tax codes and tax calculations based on the tax rules you created in NetSuite ERP.

Option 1: For clients that allow Hyperspace to control tax codes:

In Heartland Retail, you setup tax rules in a variety of ways. These tax rules will automatically calculate the sales tax for your Cashiers when completing an in-store sale.

Based on the tax total on the sale, Hyperspace will calculate the exact tax rate required to populate the sale into NetSuite ERP.  It will first examine tax rates that exist in NetSuite ERP. If one is not available for that specific subsidiary at the exact rate required, Hyperspace will create one in NetSuite ERP at the required rate (e.g. .0900032) and sync the Cash Sale.  This ensures that regardless of the tax rules, rates and workflows in NetSuite ERP, the sale will always have a total tax that matches the sale in Heartland Retail Point of Sale.  Hyperspace even allows you to define specific NetSuite tax agencies and NetSuite tax accounts for each store location in Heartland Retail Point of Sale.

Option 2: For clients that allow NetSuite ERP to control tax codes:

In this scenario, Hyperspace is syncing all relevant sales data to your NetSuite ERP. This includes the following:

  1. Line Items in NetSuite ERP
  2. Customer Information (Customer Name, Customer email, Customer Address) or Guest customer
  3. Discounts
  4. Sale ID and Sale Date
  5. Store Location in NetSuite ERP (Store Location)

Option 2 is often selected by clients with Avalara integrated into NetSuite ERP. Avalara calculates all tax based on the data in 1-5 above. Based on the sales data above, NetSuite ERP is determining the tax code and tax rate to apply using your own rules in NetSuite ERP.  So all tax calculations are owned by NetSuite (e.g. Avalara) based on items 1 - 5 above. Avalara examines the line items on the sale, location data and other sales data to calculate the tax.  If the tax is not calculating correctly, you will need to modify the rules or tell Hyperspace what information in 1-5 needs to exist in order for Avalara to calculate tax.
