There are numerous settings that allow you to configure how orders download from Shopify into Heartland Retail and even ShipStation.
Here is the typical workflow:
A. Orders automatically sync from Shopify to Heartland Retail. This creates an Open Sales Order in Heartland Retail.
B. The employee invoices the Sales Order in Heartland Retail.
Note 1: If you need training on how to invoice orders in Heartland Retail Point of Sale, please contact your Heartland Retail representative.
Note 2: If you need training on how to setup fulfillment alarms in Heartland Retail Point of Sale, please contact your Heartland Retail representative. Fulfillment alarms will notify employees when new online orders need to be fulfilled.
Note 3: Employees that are located at the shipping location can fulfill (invoice) their own items. Heartland Retail built their Point of Sale to prevent users at different shipping locations from fulfilling orders that do not belong to their store.
C. This action of invoicing a Sales Order changes the status of an Open Sales Order to a Closed Sales Order in Heartland Retail Point of Sale.
D. Hyperspace is always monitoring Closed Sales Orders in Heartland Retail. Hyperspace will automatically sync a Closed Sales Order to ShipStation.
E. The employee will open the Sales Order in ShipStation and print a shipping label and packing slip. This action generates a tracking number for the shipment in ShipStation. The employee will box up the shipment and deliver the package to the shipping provider (e.g. Fedex, UPS, USPS, etc)
F. Hyperspace is always monitoring Orders with Tracking Numbers in ShipStation.
Once a tracking number has been generated in ShipStation, Hyperspace will automatically update the tracking number to the Sales Order in Heartland Retail.
Hyperspace will also update the order in Shopify and mark it fulfilled. The order is Shopify is marked fulfilled when the Sales Order in ShipStation has been marked shipped with a tracking number.
In Hyperspace, you can open the orders tab and view all of the order ID's across all 3 systems (Shopify, Heartland Retail, ShipStation).
